Take the manual back-office work out of your portfolio companies.

Portfolio operations teams use Clarm Atlas to hand a portfolio company’s manual back-office work to AI agents, like turning customer order emails into entries in the ERP, without a systems project. A global fresh-produce company already runs our agents in production on retailer orders and quality claims.

Example: one order email, entered in the ERP

Order email

From: purchasing at a retail distribution centre

Order 4471882 for delivery on Tuesday

  • Bananas, 18 kg cartons: 1,240 cases
  • Pineapples: 180 cases

Sales order in the ERP

Where it shows up in the value-creation plan

Back-office work in a portfolio company grows with revenue unless something else does it. Order intake is where we start, because every order is countable.

More volume, same back-office team

When orders grow, the agents enter the extra orders. The people who key orders today work the exceptions instead.

Add-ons before the systems merge

An add-on brings its own inbox and its own ERP. Agents can take over order intake in the add-on’s own systems while the integration is still on the plan.

Claims logged, not lost in an inbox

The claims agent reads every email in the claims inbox and logs each quality claim with its evidence, so the team works a register instead of searching mail.

Orders finance can check

Every field the agent enters points back to the line of the email it came from. A controller checks an order in seconds instead of asking who typed it.

Running in production today

These are our agents’ own counts at a fresh-produce multinational, not the company’s totals.

  • In their first seven weeks, our agents entered 1,000+ retailer orders, about 650,000 cases (about 11,000 tonnes) of fruit, for 63 distribution centres.

  • Our claims agent reads every email in a fresh-produce multinational’s claims inbox: 7,000+ so far, with 1,700 quality claims logged from depots in 17 European countries.

How a portfolio rollout works

  1. Step 1

Pick one company and one job

Start where the most people key orders, invoices or claims into the ERP by hand. Bring representative emails, the current rules and the known exceptions.

  2. Step 2

One workflow live, on a paid scope

One working workflow live in the company’s own inbox and ERP by week four. The Team plan is $5,000 a month.

  3. Step 3

    Same scorecard, next company

Orders handled, hours of keying removed, exceptions and errors, counted the same way in every company. The value-creation team compares companies and picks the next one.

Who does what

Operating partner
Picks the first company and owns the scorecard across the portfolio.
Portfolio company COO or CFO
Owns the job, signs for the workflow and decides where the team’s time goes next.
Portfolio company IT
Approves the inbox and ERP access once. Every agent works inside that access.

What we do not do

  • We do not replace the ERP or run a systems integration. The agents work in the systems the company already has.
  • We are not a consulting engagement. The company pays a monthly subscription, not a statement of work.
  • We do not quote savings before we have counted them in your company. The scorecard does that from week one.

Bring one portfolio company and one manual job

On a short call we look at the job, the systems it touches and what the scorecard would count.
